One of the advantages of subbing is the opportunity to work in many different libraries. One of the drawbacks of subbing is working in many different libraries. It can be challenging to remember which library is where, the unique ways of doing things in each library, and even just the layout of each.
I am interested in knowing how subs like us cope?

If feasible, I like to visit the library I am scheduled to sub at in advance. During my visit, I pay close attention to the layout and where things are. I also like to talk with the librarians and ask to get information about the patron demographics, the unique challenges of working at that library, and policies and procedures specific to that library. Sometimes one gets scheduled at the last minute to go to an unfamiliar library. While this can be stressful, the librarians I’ve worked with have all been really helpful and have given me an orientation of the place as soon as I arrived.

Some branches tend to be busier than others and even busier libraries will likely have slow periods when not much goes on. During slower times, I like to ask the librarian in charge if there are any projects or shelving I can help out with. Usually there is something that needs to be done and they will greatly appreciate your willingness to help out. I also like to periodically walk throughout the library and picking up scattered books/materials and straightening shelves as needed.

When subbing, I have found that even at the reference desk, a majority of the questions are directional or procedural in nature The answers to these types of questions will vary depending on the library.

In addition to all of this, I find it useful to know what events are going on that day in the library I’m subbing in and have that information right in front of me at the desk.

Here is a checklist I compiled of things to look for in the library. Part of the challenge with subbing is keeping track of where everything is for each library!

Augsburg Park

Brookdale
*Juvenile and easy and adult nonfiction are all shelved separately from each other.
*There is a children's study room available. Adults must be accompanied by children or teens.
*There is a computer set aside for doing legal research via Westlaw.
*2 reservation stations: One for adults, one for children/teens
*Two courtesy phones, one near adult and children's information desks
*2 microfilm readers are available.
*There is a separate section for job and career books.
*There is a section of used books for sale.
*Several small study rooms are available for use of groups of 2 or more. There is a 2 hour limit if others are waiting. To have the room unlocked, please ask at the information desk and inform a librarian when you are done.
Study rooms F and I are for groups of 4 or more.
*There is a quiet reading room containing Minnesota reference books
*There are separate areas for the following browsing materials: automotive, health/fitness, home/garden.
*There are specified referene sections for automotive and health/fitness related materials.

Brooklyn Park
*Library has computer tutors: Mondays 10:30-12:30; Thursdays 3:30-5:30; Fridays 2:00-4:00. The tutors provide basic computer assistance, including how to use a mouse, keyboarding, setting up an email account, navigating websites, and using MS Word.
*Table for phone books near the information desk

*Reserve pick up: A few of the very popular titles (e.g. Brisingr, Breaking Dawn, the latest by James Patterson) are held behind the service desk along with the DVDs, music CDs, and ILL's

*Age restrictions on computers: Based on grade rather than age. Kids is for grades 6 and below, Teens is for grades 7-12, Adults is for those no longer in high school. These age limits are strictly enforced, especially during non-school hours. During school hours, adults are asked to use the adult computers unless they are all full, in which they can use teen computers. There is a computer in the kids area, labeled "Reference and Research Station C", which adults can use if they have children nearby. A librarian needs to enter the secret password to use the computer.

*There is also a World Links computer. Patrons need to ask a librarian before using.

*Library is busy and compared to other branches, the reservation station gets used more. There are frequent waits for computers.

*There is a locker for intermittent staff members. Ask a staff member for the combo.

*Staff photocopying is 5 cents a page

*Patrons who wear hooded jackets and sweatshirts are asked to remove the hood in the library.

Champlin
*Hardcover and paperbacks are interfiled for mystery, romance, and science fiction/fantasy
*There is a computer set aside for reference/research

East Lake
* Utilizes Blueprint Model of service- librarians provide roving reference, staff are assigned zones for each hour
*Has a Discover Saturday Program on 1st and 3rd Saturdays of the month. Only Minneapolis library besides central to have this.
*The variety section of the Star Tribune is kept at the iDesk
*Library has a separate Business and Career Section
*Also a separate travel section (now moved by the end of the nonfiction, near the teen area)

*The only Hennepin County Library with a typewriter

*MUST have computer reservation: can't just log on when screen says Available. If you click on Available, there is no response.
*Patrons cannot use the phones behind the reference/circulation desks. The only exception is for kids calling for their ride. There is a pay phone by the Aldi store right across from the library.
*Music CD discs are held behind the circ desk
*There is a bathroom in the children's area. This is only for children under 12 and their parents.

Golden Valley
*DVD holds are held behind the service desk
*There is a shared locker for intermittents. Get the key at the service desk.
*Permanent librarians sometimes carry a wireless phone when away from the desk. You may page the librarian as needed by picking up the phone and pressing the "GV Wireless" phone key. If you are unable to answer the phone at the information desk, after 4 rings, it will automatically go to the wireless phone.

Hopkins
*Battery recycling can in main entrance
*Patrons can donate used eyeglasses- basket next to photocopier
*No courtesy phone. Patrons can call for a ride or parents/caregivers using one of the staff phone. Staff must dial the number for the patron. Phone call is limited to 3 minutes.
*Time limit on the 3 Express Stations is 30 minutes

*Computer policies:
*One person only at Internet stations, #1-8
*All others limited to 2 at each computer
*Customers using computers must be seated
*No gaming allowed on Internet with Word computers, #9-14
*During the school year, after 4:00pm, anyone in grade 7 and above must leave the children's computers.
*When school is out during the summer, kids computers are limited to children under age 12 only; teen computers are limited to teens (Grades 7-12).

Hosmer
*Large CD and DVD/VHS collection for its size. 10 CD checkout limit.
*Library has frequent music concerts (Saturdays) with an eclectic variety of styles featured
*Has a technology center in the basement
*Collection strengths: art and history
*Music CD discs for rock and R&B/rap/funk/soul are held in the workroom behind the circ desk

Linden Hills
*The only branch library in Minneapolis to have its collection spread between two floors
*Large local history collection in alcove on second floor
*Library is now on the consolidated network

Long Lake
*Library is part of a strip mall
*It's small size

Maple Grove
*Has a pay phone in its entrance
*A sign on the conference room door says "Assistive listening devices provided at the Information Desk." Do other branches provide this?
*Friends of the Library booksale shelf by entrance
*There are a few computers set aside for reference/research purposes

Maple Plain
*Has a magazine exchange in the front entrance

Minneapolis Central
Due to its large size, has many unique features. See this website

*Central New Arrivals books can now be requested electronically; books checked out after Jan 1 can be renewed.

*Open 10-8 on Tuesdays and Thursdays (all other Minneapolis libraries are open 12-8 on Tues/Thur)

*Time limits for computers: 30 minutes (1st floor); 1 hour (Children's library), 2 hours (2nd, 3rd, and 4th floors), no time extensions or guest passes for computers for the 3rd floor. Teen computers are i-pod compatible and are for use by teens only.

*Color copier on the 3rd floor (50 cents per 8.5 X 11 page; $1.00 per 11 X 17 page)

*There are 2 scanners each on the 2nd, 3rd, and 4th floors.

*Battery recycling container by the welcome desk.

*Welcome desk no longer uses volunteers. Is now staffed by librarians.

STAFF LOUNGE: No coffee in the staff lounge, due to an arrangement with Dunn Brothers. Also, no silverware, plates, cups, or napkins available. Come prepared!

World Languages (Adults, 1st floor): Amharic, Arabic, Chinese, Dutch, French, German, Hindi, Japanese, Korean, Polish, Portuguese, Russian, Somali, Spanish,Thai, Tibetan, Vietnamese. Material available in fiction and non-fiction.

World Languages (Adults, 3rd floor in literature section): They include some of the same languages as on the first floor and in addition: Latin, Ancient Greek, Old and Middle English, Danish, Finn, Italian, Norwegian, Swedish.

World Languages (Children's Library): Amharic, Arabic, Chinese, Czech, Danish, Dutch, Finnish, French, German, Greek, Hebrew, Hindi, Hmong, Hungarian, Italian, Khmer, Korean, Laotian, Latin, Navajo, Norweigain, Ojibwe, Oromo, Persian, Polish, Portugeuse, Russian, Serbo-Croatian, Somali, Spanish, Swahili, Swedish, Tagalog, Thai, Ukranian, Vietnamese

Non-book world languages & ELL, Putnam and Dewey World language books are on the 4th floor.

Information is provided in Spanish, Hmong, and Somali on the 4th floor- New Americans Center-to help new immigrants and others interested in learning and improving their English and finding out about community resources.

1st Floor has sound effects CDs. The children's library has braille books and the Milestones Collection. The first floor's computers are on the consolidated network. (2nd, 3rd, and 4th floors are not yet)

4th floor has computers set aside for grant research. Staff must log customer in with password. Time can be extended. 4th floor houses genealogy collection and Special Collections room.

2nd Floor: special computers for job seekers, small business entrepreneurs, and patent searching. Staff must log customer in with password. Time extensions can be granted in most cases.
Microfilm (microfiche?) readers on 2nd floor. Government documents collection, patent depository, Teen Central. Teen Central CDs can now be requested.

3rd Floor: Features sheet music, only library in Minneapolis with sheet music. Music CDs are assigned call #s. This is not done at the branches. Has picture files. Administrative offices are on this floor. More microfilm/microfiche readers here. Color photocopying machine.

Minnetonka

Nokomis
*Water fountain (not the drinking kind) and loft in the library
*PZ 8.1 and PZ 8.3s in juvenile nonfiction are shelved in a separate section
*Will be closed for renovated starting September. Will reopen again in 2011.

North Regional
*Utilizes the Blueprint Model - librarians provide roving reference, staff are assigned zones each hour
*Has African American section of the collection
*Has a Discovery Room where kids can play games and make crafts
*Two MAC computers in Teen area are loaded with the Scratch program
*During selected hours, patrons can use the gaming lab and open computer lab upstairs
*Library gets a large number of kids and can be quite noisy at times.
*Has color photocopying available for 50 cents a page
*Business and Career section

Northeast
*Hardcover romance is interfiled with hardcover general fiction- only Minneapolis library to do this.
*Somali storytime
*Library has small collection of music cassettes
*Bike locks are available at the circ desk. Patron needs to present their library card to use.

Osseo

Oxboro
*Has a bookcase full of DK Eyewitness books on various subjects.

Penn Lake
*Library has quiet study room. #2 is limited to 3 people
*Library has conference room, limited to a maximum of 7-8 people. Room is limited to nonprofit organizations only, with the top priority for non-profit tutoring sessions. The room can also be used as a quiet study area. Please book the room at the information desk.
*Express Reserve pickup: CDs are in a separate area from the books. DVDs are held behind the service desk.

Pierre Bottineau
*Besides Central, the only Minneapolis library to shelve Teen CDs separate from the adult CDs
*Local history room, which also has a scanner (but is not connected to an internet computer)
*Russian story time and Russian book club
*Movie DVDs are in security cases. Children's and television show DVDs are not in security cases but the discs are held behind the circ desk.

Study Rooms:
#56 and #57: 2 person limit, ask at information desk before using. Soft talking permitted.
#58: No talking allowed

Computers:
*On the Word Processing computers with Internet, word processing has priority. Patrons may be asked to give up the machine if not using Word.
*Kids computers are for 6th grade and under only (or adults accompanied with a child). No YouTube or social networking (e.g. MySpace, Facebook, etc.) allowed on these computers.
*There is a sign up sheet by the Little Links computers. Time limit is 30 minutes if others are waiting.
*Computer stations #51-54 have adaptive technology. These are in locked carrels. Key is behind reference desk. Sign up to use at the information desk, not part of the reservation system. #51 has open book text scanner and reader, #52 and #53 have MAGIC screen magnifier and speech program; #54 has JAWS screen reader. These computers are only for patrons using Word, adaptive technology, or taking an online test
*There are three express stations. 15 minute time limit. No games.
*There are three World Links computers by the Spanish materials.
*Headphones are available on teen and kids computers only. No age restriction for teen computers.
*There are two Reference and Research computers by the information desk.

Database Comparison

Since there is now just one website for all of Hennepin County, virtually all of the databases are accessible at any library in Hennepin County. There are a few databases (e.g. Foundation Grants Directory) that are only available at Central.

EGGS

Eggs are under a dollar a dozen this week. Besides making quiche, frittata, strata, deviled eggs ( aggkaka/Dutch pancakes, omelets, Huevos Rancheros, eggs Benedict . . . ) you can freeze eggs for later use.

Of course there are hundreds of online resources about saving money! Here are a few I have used:

Hillbilly Housewife

Money-saving cooking, grocery-shopping. Amazing selection of mixes for convenience foods, e.g. self-rising pizza.

The Grocery Game
http://www.thegrocerygame.com/
Weekly grocery sale item report, strategies for saving money, and coupons. She tracks grocery sales by store and tells you when prices are rock bottom, then pairs a coupon for further savings. There is a twelve week price cycle in grocery stores, and she advises when to prices have reached their low point.

Negatives: I found it useful to know when prices were low, but didn't have enough money to stock up, as she suggests. This plan works better if you aren't yet on an austerity budget. Monthly subscription fee, but free one month trial. Bargains are listed by store, including Cub, Rainbow, and Walgreens, and you have to wade through a lot of name-brand health-and-beauty items each week.

Some I find hilarious and way too time-consuming, but there frequently are good ideas that fit for me. *Timesheets: There are a few employees who need to fill out paper time sheets in urban libraries. How do you find Triple Crown books in the libraries formerly known as Minneapolis?

MPLs website features an urban fiction book list. Oftentimes patrons who are looking for Triple Crown books are really interested in urban fiction books. The book list can be accessed by selecting "Books/DVDs/and More", then selecting "Book Lists". The Urban Fiction link should be at the bottom of this page.

Also, doing a keyword search on "Urban books" generates almost 400 results in the Minneapolis catalog and almost 100 in the suburban HCL catalog.

Subbing Article

Right now, I have established an outline of things to address in an article about subbing in libraries for ALA-APA Library Worklife: HR E-News for Today's Leaders. Have additional things worth mentioning? Add them here!

Articles submitted should be 1200 words or less so may want to submit a series of smaller articles. The first one could be about what its like to be a substitute librarian and how to get started. The second one could explain in detail about the benefits of subbing and the third one could address in detail the challenges.

OUTLINE:

I. What is it like to be a substitute librarian
a. Primary duty is staffing the information desk
b. Work at multiple libraries
c. Do both adult and youth services
d. Sometimes know shifts in advance; sometimes get last minute notice

II. Benefits of substituting
a. Good way to gain relevant experience while looking for a more permanent position
b. Flexible work hours- works well for those have another job or are students or are retired librarians
----i. Can specify days/times when you are/are not available
----ii. Can specify preferred libraries to sub in
----iii. Under no obligation to accept an assignment
c. Get to work in a variety of libraries
----i. See how different libraries do things and what's unique about each library in the system --allows for increased knowledge of the library system as a whole
----ii. Get a broad range of work experience and skills
-------Get experience in libraries of different sizes
--------Experience with different demographic populations (variety of ages and cultural backgrounds)
-----iii. Get to know many people, expand your network
-----iv. Variety makes the job exciting, always something new to learn
-----v. Less likely to get bogged down in the day to day office politics
--------If a particular employee or patron is difficult, don't have to deal with him/her on a day to day basis

III. Challenges of Substituting
a. Unpredictable Work Hours/Days and Work Locations
----i. Work hours and days can vary widely from week to week as well as the libraries
----ii. Be prepared for last minute calls!
----iii. Be prepared for last minute location changes!
b. Library systems may have an upper limit on the amount of hours substitutes can work (e.g. averaging no more than 20 hours a week), so many subs need an additional job
c. No benefits (health insurance, sick leave, paid vacation, etc.)
d. Each library in the system is different, challenging to keep track of it all
----i. Unique rules and policies
----ii. Different patron demographics
----iii. New names and faces to keep straight
--------Get to know many different people through subbing but harder to get to know people well
----iv. Different directions to get to each library. Some may require extended commute times
----v. Libraries have different layouts. Finding where things are.
----vi. Unique collection strengths and programs
e. Lack of continuity due to not working in a regular location or set hours
----i. May not get informed right away about recent changes
----ii. Example: Patron approaches you saying he/she talked to staff person x about situtation y recently, and you know nothing about it because you don't regularly work here
f. Primarily staff the information desk, since you're not there regularly, may not get the opportunity to take on some additional challenges and projects that are more long term (e.g. collection development, programming). These types of experiences are good to have when applying for a permanent position.

IV. How to Become a Substitute
a. Contact administration or human resources for the library system and ask if they have substitutes
b. Some systems always accept substitute applications; others only accept applications when there is a vacancy available
c. Educational requirements
----i. Librarian sub: Typically MLIS or significant coursework in library science
----ii. Associate Librarian sub: Less likely to require MLIS but may require library science coursework or previous related work experience
----iii. Library aide sub: HS diploma required, customer service experience useful
d. Substitute positions may be competitive but generally much less so than permanent, benefitted positions. Subbing is the way many librarians get their foot in the door.

Recipes

Dhal (Curried Split Peas)
adapted from More-With-Less-Cookbook by Doris Janzen Longacre

Soak 3-4 hours or use quick method*:

1 c. dried split peas
2 1/2 c. water

Add:

1 t. turmeric
1/2 t. cayenne red pepper
1 t. salt
1 t. cumin, to taste
10 whole cloves, or powdered equivalent
5 black peppercorns, or as much pepper as you have patience to grind
1 t. or more curry powder

Bring to boil, reduce heat, cover partially, and simmer 20-30 minutes. Peas should be tender and beginning to disintegrate. Add additional water if needed to maintain thick gravy consistency.

Serve as a sauce over rice or potatoes, or your carbohydrate of choice.

This produces a pleasantly spiced dhal. Feel free to kick up the spices to taste.

*Bring to water and beans to a boil and cook for two minutes. Cover, remove from heat and let sit one hour.

*Uses librarian and associate librarian subs. (Also employs subs at the aide level but don't know the job title)
The librarian subs primarily staff the reference desks; the associate librarian subs provide reference backup and also do some circulation.

*Rate of pay for librarian subs: $14.60/hr

*Subs get notified of shifts via a combination of emails and phone calls (for last-minute of assignments)
No AESOP.

*Limit of 1039 hours a year that subs can work?

*ILS used is Unicorn Work Flows (a Sirsi-Dynix product)

ACL always takes applications for subs. To apply, submit a cover letter, resume, and an Anoka County Application.

Carver
Same as Anoka, fill out Carver County application.

Dakota
Yes you must get on a list and take an entrance test to get on list. Does not accept sub applications unless there is an opening for subs?

Ramsey/St. Paul
Advertises openings at least annually, possibly every six months. One interview for FT, PT, and sub work. Applicant resumes are reviewed and qualified applicants are selected for an oral exam. After exam, applicants receive written notification of oral exam score position (e.g., you are 5th, 8th, 24th.) People are called for interviews starting with highest score and proceeding through the list.

I have some experience subbing with St. Paul 1986-1990. Although things have changed.

Scott
Scott County always takes applications for subs. To apply, submit a Scott County application.

Washington
Washington County has had subs which they eliminated. They just give extra hours to part-time internal staff. This was frustrating to staff that likes to take off for months at a time or parents that wanted to be flexible for their children.
